Minutes were read and approved by acclimation.



Officer's Reports

 

Baron Einar – They went to Cleftlands’ Regular Event, it was
a nice event, a little crowded.  They had
a good time.  They held a Baronial fighter
practice in Alderford, the rapier people came out for it too.   They
are still looking for award recommendations. 
They are also in need of donations to put in gift baskets to give King
and Queen for Masque.   Gabe has registered the group for Pennsic and you
can sign up when you register online or by mail.  The camp will be in the same place as last
year.

 

 

Baroness Maerwynn – if you send an award recommendation and
it doesn’t make it into the Masque court, it is probably because they needed to
limit the court time. Shtick is probably going to be pretty heavy at Masque as
it was in Cleftlands.  

 

Seneschal – Report went in a day late.

 

Exchequer – Current balance as of Jan 31 is 3612.13, three deposits
made in January – most of the income was Qaina pre-reg.  There was one more deposit made after
statement

Livestock tax for January was 21.00

There are bills to be paid – including webhosting, replacement
of a misplaced check – 46.59,  reimbursement
for postage on envelopes for Qaina pre-reg, building rent. Domesday is done,
electronic copies went out.  Hard copy
needs signed today and mailed tomorrow.

 

Pursuivant – Found out what happened with the stinking
badges.  They got lost.  We have the Baronial Arms and Alderleaf badge
(but not the Alderleaf name).  Sometime between
late 2005 and mid 2006 all of the previous submissions were allegedly
returned.  They were never acted upon after
that.  There was a deadline which we have
missed so we need to resubmit.  There are
seven awards; it will be $91 to resubmit. 
There was discussion of contacting groups with conflicting devices to
get permission to use ours.  Catriona and
Alexander were told to hand out awards while we awaited approval, so we will
continue with that policy.  Ursula will
put out a notice on the list to get info from previous heralds about the
documentation.  Motion made by Akira and seconded
by Catriona to allow Ursula to spend $91 + 4 for postage and copies, motion
carried.

 

Knights Marshall - GuyJacques is trying to organize a
Brendoken fighting force.  He is getting
a practice together for just before the April meeting.   We
have new fighters in the Barony – it might be a good idea to have a common
resource for people to get and make armor. 
Akira is considering an armoring guild kind of thing to get together and
work on Armor.  He also would like to
collect up stuff for Iron Key.

The Baroness is becoming an MIT – suggested we work on
putting together a pool of replacements for when Akira steps down.

Alexander will be at RUM working on Siege stuff.  Combat archers – experimental arrows, if you have
questions ask him.

 

MOAS – She went to Thistle and did a class on games.  She is trying to get a speaker’s bureau together
of people willing to go to other groups and teach classes and such.  In April we will have an A&S workshop
during the fighter practice for those not involedin marshal activities.  We will have various things to work on;
scroll folders, favors, tabards.  As
there are many new people in the barony, it would be good to mention to them
that there will be lots of expertise at this meeting and that would be a good
time to come ask questions about garb and such. 


 

Webminister – the change of officer form will be sent in
tomorrow.  Introductory report going in
tomorrow – discussing the upcoming website changes.  We will be using Drupal so subsequent
webministers will not need any specific software to maintain the site.  Brighid volunteered to be the data entry
person for the site.  We had an issue
with getting the password for the old site and we do have access to it now and
will update important info on that site shortly.  We thank Gwyntarian for hosting the Qaina
website.   We are currently waiting for Justin to suggest
a template.

There was a short discussion of new rules regarding
crediting artwork used online.  The new
guidelines are to list credits for every little bit of graphic fluff on the
site.

 

Chronicler – Please submit articles and ideas for articles for
the Portcullis.  

 

Chatelaine – we tried to have a meeting, but it was called
off on account of weather.  They want to
brainstorm and share ideas for recruiting, it will be rescheduled.  She is working with Camp Paradise to get
together a week-long demo during the summer. 
 They will be a craft during the
day each day and a demo of fighting, dancing etc. in the evenings.

 

Acting Signet – if you want to make blank scrolls talk to
Faioleann (if you want the Signet’s post tell Giles.)

 

Chamberlaine – Their Excellencies will be at Masque and
NORAD. The court at Masque will be similar to what was done at Cleftlands.  At NORAD – there will be a Baronial court with
Einar only.  Please get award recommendations
in.  There is still a need for retainers
and guards for Masque.

 

Regalia – we received back the baronial sewing machine, and
we have hand pressed paper gift bags.  She will be taking photos and labeling things
for insurance purposes.

 

Canton Seneschal's Reports

 

Alderford – They are looking for volunteers at Masque in
several areas.  There will be a masked
ball after the feast.  Monstero set-up
help needed the Friday before, at 2:00.

 

Gwyntarian - We had a scribal class at the last
meeting.  We have a couple leads on event
sites.

 

Thistle – NORAD coming up. 
 Gabe B can take pre-reg
today.  Thistle moving forward, working
on a bunch of little things.  Looking for
their own new site for practices in Wadsworth. 


 

Three Towers – Had an armored practice and a business
meeting last month.  Investigating a site
and trying to get a date so they can have an Encampment that is actually an
Encampment.  There is a missing Banner last
seen at last year’s Entrenchment – it is the Baronial banner.   ORCS is
April 10 and they are looking for teachers.



    Old Business

    Brendokenfest 2010 – still looking for a site.  Giles will talk to Finna about helping find a
site.  Brighid will check Nick-a-Jack
farms.  Date to aim at is April 24



    Qaina – pre-reg current tally $1219, Celeste is troll and
she submits the pre-reg money weekly to Fohl Dubh, so far they have registered 12
members and 43 non-members.

 

Masque pre-reg cut-off Feb 13, give to Fohl Dubh at meeting.

 

    Charter Review – draft will be online and
in the next Portcullis for others to comment upon.  Comments will go to Giles.  Seneschals should hand them out at meeting
too.

 

   New Business

    Bill from New Tide Group for WEB hosting it is $100 for the
year.   Catriona moved to pay the bill, Maerwynn
seconded, motion passed.



   Baroness Catriona bribed us with M&Ms so we would replace
a check that went missing.

 

   The seneschal of Eastwatch contacted us
about renting Monstero in October.  We
need to create a Tent Rental Policy.   Details to consider include; transportation
and set-up rules, will we rent set-up and tear-down services too,  liability, 
appropriate fees. The Society exchequer said it is touchy to rent to
subordinate shires, but renting to other groups is fine.   A committee was formed to develop the policy –
Katerina, Akira, Fohl Dubh and Maerwynn will investigate various aspect of the
policy and work out details.  



    Meeting Site – Rent has gone up at the Mishler Weaving mill to
$25/meeting.  Gabe suggested moving the
meeting to Living Waters Fellowship in Dalton.  
 Facilities there include a
kitchen, space to practice, separate rooms, etc.  lots of outdoor space.  Practices would need to be scheduled around
other things occasionally, but there would always be space for the business
meeting.

They have not been charging the Blades and rent, Gabe
suggests we make a donation of around 10/meeting.  We have outgrown this site – the new site
would be bigger and provide more opportunity for different activities.  We will finish discussing the move at next
meeting, and possibly move the April meeting.

 

A motion was made by Catriona to issue a check to the Mill
for the first quarter only. Akira seconded and the motion passed.

 

Catriona moved that we ask Gabe to have the church write up
an agreement.   Maerwynn  seconded and the motion passed.
